Position Title: Head of Finance & Admin
Reporting to: General Manager
Type: Full-Time (37 Hours per Week)
Salary: 26,936.00 – £29,000.00 (dependent upon experience)

Purpose of the Role: The Head of Finance & Admin is responsible for managing the financial operations and administrative functions of Al Furqan Education Trust. This key role ensures that all financial processes, records, and reporting are accurate, transparent, and compliant with charity and legal requirements.
The post holder will oversee budgeting, payroll, and financial planning, as well as ensure the effective running of administrative systems. Working closely with the General Manager and Trustees, they will help maintain the Trust’s strong reputation for integrity, efficiency, and community service.

Main Responsibilities:

Finance

  • Maintain accurate financial records for all income and expenditure by using Xero Accounting software.
  • Ensure financial controls and processes are embedded and followed.
  • Reconcile donations, madrasah fees, and fundraising income on a regular basis.
  • Prepare monthly and quarterly financial reports for the Manager.
  • Process payroll, staff expenses, and supplier invoices promptly and accurately.
  • Support the preparation of annual budgets, audits, and statutory financial returns.
  • Ensure Gift Aid claims are completed correctly and in compliance with HMRC rules.
  • Monitor cash flow, prepare forecasts, and maintain banking and petty cash records.
  • Prepare and manage Friday/Eid/Ramadan donations and all other events where funds are raised for the centre.

Administration

  • Oversee the day-to-day administrative functions of the organisation.
  • Maintain volunteer records, agreements, and timesheets.
  • Ensure fee payments of all services are collected promptly, on time and are recorded and reconciled.
  • Manage and update fee databases, ensuring invoices are raised and payments collected on time.
  • Send reminders and manage communications regarding outstanding payments.
  • Support communication between staff, management, parents, and the wider community.
  • Assist in the running of the madrasah and assist the Head teacher with administrative tasks for the madrasah
  • Assist in delivering community events such as Ramadan and Eid programmes.
  • Provide administrative support to meetings, including agendas, reports, and minutes.

Essential Qualifications/ Skills/Experience:

  • Degree educated, ideally with an accounting or finance background.
  • Proven experience in financial administration, reporting, and reconciliations.
  • Experience in managing payroll, budgets, and supplier payments.
  • Experience maintaining accurate financial records and producing management reports.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
    Integrity and ability to handle confidential information.
  • IT literate and competent in using Microsoft Office packages (Excel, PowerPoint, outlook) and financial software.
  • Ability to work independently and manage workload effectively.
  • Commitment to the aims and values of Al Furqan Education Trust.
  • Ability to develop working relationships
  • Excellent communication skills in English and Somali (Arabic is desirable)
  • Strong Islamic character and values.
  • Professional and polite under all circumstances, adhering to Islamic principles.

Desirable:

  • Recognised bookkeeping or accounting qualification (AAT, ACCA, CIMA or equivalent).
  • Experience working in a charity, community, or educational organisation.
  • Familiarity with Gift Aid, HMRC, and Charity Commission requirements.
  • Understanding of safeguarding, GDPR, and health & safety responsibilities.
