Hall Booking Terms & Conditions
These Hall Booking Terms & Conditions apply to all hall hire bookings made with Al Furqan Education Trust, located at 33-41 Cross Lances Road, Hounslow, TW3 2AD.
By completing a hall booking and making payment, you confirm that you have read, understood, and agreed to these terms and conditions.
1. Booking Confirmation
A hall booking is confirmed once the customer has completed the booking process and payment has been successfully made.
Once payment has been received, the booking is automatically confirmed unless Al Furqan Education Trust cancels the booking in accordance with these terms.
Al Furqan Education Trust reserves the right to cancel a booking where necessary, including but not limited to operational, safety, security, suitability, payment, or hall management reasons. If Al Furqan Education Trust cancels a booking, the customer will receive a full refund of the amount paid, including the refundable security deposit.
2. Hall Hire Services
Hall hire is offered under the following services:
Weekday Hall Hire
This applies to weekday daytime bookings during off-peak hours.
Evening / Weekend Hall Hire
This applies to evening bookings and weekend bookings during peak hours.
Customers must select the correct service based on the date and time they wish to book.
3. Off-Peak and Peak Times
The off-peak rate is £80 per hour.
The peak rate is £100 per hour.
For Monday, Tuesday, Wednesday, and Thursday, the rates are:
Off-peak: 10:00 AM to 5:00 PM
Peak: 5:00 PM to 11:00 PM
For Friday, only peak bookings are available:
Peak: 5:00 PM to 11:00 PM
For Saturday and Sunday, only peak bookings are available:
Peak: 10:00 AM to 11:00 PM
4. Bookings That Cross From Off-Peak to Peak Time
Off-peak and peak times are booked as separate services.
If a customer wishes to book the hall across both off-peak and peak times, they must make two separate bookings.
For example, if a customer wants to book the hall on a Monday from 10:00 AM to 7:00 PM, they must book:
Weekday Hall Hire from 10:00 AM to 5:00 PM, and
Evening / Weekend Hall Hire from 5:00 PM to 7:00 PM.
Each booking must be completed and paid for separately.
5. Security Deposit
Each booking includes a £100 refundable security deposit.
The security deposit is added to the booking payment and is refundable after the booked event has ended, subject to the conditions in these terms.
If a customer makes more than one booking for the same event, each booking may include its own refundable security deposit. Where multiple bookings relate to the same event, the deposit refund will be assessed after the full event has ended.
6. Refund of Security Deposit
The £100 security deposit will be refunded after the event, provided that:
There is no damage to the hall, property, fixtures, fittings, furniture, equipment, or any other item belonging to or managed by Al Furqan Education Trust.
The hall does not require extra cleaning beyond normal use.
The event finishes on time and the customer, guests, suppliers, caterers, decorators, and all items leave the hall by the end of the booked time.
The customer does not breach the cancellation rules.
The customer, guests, suppliers, caterers, decorators, or anyone attending as part of the booking do not breach any hall hire terms and conditions.
If any of the above conditions are not met, Al Furqan Education Trust may deduct reasonable costs from the security deposit. If the cost of damage, cleaning, late finish, or breach exceeds the security deposit, the customer may be required to pay the additional reasonable cost.
7. Payment
Full payment is required at the time of booking.
The payment amount will include the applicable hall hire charge and the refundable £100 security deposit.
A booking is not confirmed unless payment has been successfully completed.
8. Changes to a Booking
If a customer wishes to change the booking date, time, service, or any other booking details, they must contact Al Furqan Education Trust as soon as possible by emailing:

Any request to change a booking is subject to availability and approval by Al Furqan Education Trust.
Al Furqan Education Trust is not required to accept a change request if the requested date or time is unavailable, unsuitable, or cannot reasonably be accommodated.
Al Furqan Education Trust may charge an admin fee for booking changes. Any additional hire charges must also be paid if the change increases the booking duration, changes the rate, or moves the booking into a higher-priced service.
9. Customer Cancellations
If a customer wishes to cancel a booking, they must contact Al Furqan Education Trust as soon as possible by emailing:

Refunds for customer cancellations will be considered fairly and reasonably, taking into account the timing of the cancellation, any costs already incurred, payment processing costs, admin work carried out, and whether the hall can be rebooked.
Where a customer cancels in breach of the cancellation rules, Al Furqan Education Trust may deduct reasonable costs from the amount paid, including from the refundable security deposit where applicable.
Nothing in these terms affects any statutory rights the customer may have.
10. Cancellation by Al Furqan Education Trust
Al Furqan Education Trust may cancel a booking where necessary, including but not limited to:
Health and safety concerns
Security concerns
Operational issues
Unsuitable use of the hall
Incorrect or misleading information provided by the customer
Breach of these terms
Circumstances outside the reasonable control of Al Furqan Education Trust
Any other reason where Al Furqan Education Trust considers cancellation necessary
If Al Furqan Education Trust cancels the booking, the customer will receive a full refund of the amount paid, including the refundable security deposit.
Refunds will be returned to the original payment method. The time it takes for the refund to appear will depend on the customer’s bank, card provider, or payment provider.
11. Use of the Hall
The hall must only be used for the purpose stated in the booking.
The customer is responsible for the conduct, behaviour, and supervision of all guests, suppliers, caterers, decorators, and anyone attending as part of the booking.
The event must be conducted respectfully and must not cause nuisance, damage, disturbance, or inconvenience to others.
Al Furqan Education Trust reserves the right to stop or end an event if these terms are breached.
12. Capacity
The hall can accommodate up to 100 attendees, subject to the agreed setup and safe use of the space.
The customer must provide accurate attendee numbers when booking.
The number of attendees must not exceed the agreed capacity or any limit confirmed by Al Furqan Education Trust.
13. Tables, Chairs, and Hall Setup
Hall hire may include banquet tables and chairs for up to 100 attendees, subject to availability and the agreed setup.
Any specific setup requirements must be requested in advance.
Al Furqan Education Trust will try to accommodate reasonable setup requests but cannot guarantee all requests.
14. Decorations
Basic hall decoration may be included where available.
Any additional decoration, setup, or changes to the hall arrangement must be agreed in advance.
Decorations must not damage walls, ceilings, floors, windows, fixtures, fittings, furniture, or equipment.
Nails, screws, strong adhesives, tape, or anything likely to cause damage must not be used.
All decorations and personal items must be removed by the end of the booking unless otherwise agreed.
15. Food and External Catering
External catering is permitted.
Customers may bring food into the hall, and space may be available to serve and keep food during the booking.
The customer is responsible for ensuring that all food brought into the hall is handled, stored, served, and removed safely.
All food, containers, catering items, rubbish, and waste must be removed by the end of the booking unless otherwise agreed.
16. Partition and Separate Areas
If the customer requires a partition or separate areas for men and women, this must be requested during the booking process.
Al Furqan Education Trust will try to accommodate the request where possible, subject to availability, hall layout, and practical arrangements.
17. Cleaning and Waste
The hall must be left clean and tidy at the end of the booking.
The customer is responsible for removing all rubbish, food waste, decorations, personal belongings, catering items, and any other items brought into the hall.
Extra cleaning charges may apply if the hall is left untidy, waste is not removed, or cleaning beyond normal use is required.
Such charges may be deducted from the refundable security deposit.
18. Arrival, Setup, and Departure
Access to the hall is only permitted during the booked time unless otherwise agreed in advance.
The booked time must include any setup, guest arrival, event time, food serving, packing away, cleaning, and departure.
The customer, guests, suppliers, caterers, decorators, and all personal items must leave the hall by the end of the booked time.
If the event finishes late or the hall is not vacated on time, additional charges may apply and may be deducted from the refundable security deposit.
19. Damage and Loss
The customer is responsible for any damage, breakage, loss, or excessive cleaning caused by the customer, guests, suppliers, caterers, decorators, or anyone attending as part of the booking.
Al Furqan Education Trust may deduct reasonable repair, replacement, cleaning, or related costs from the refundable security deposit.
If the cost exceeds the security deposit, the customer may be required to pay the additional reasonable cost.
20. Personal Belongings
Al Furqan Education Trust is not responsible for personal belongings, valuables, equipment, decorations, food, gifts, or any other items brought into the hall, except where liability cannot be excluded by law.
All items must be removed by the end of the booking.
21. Prohibited Items and Conduct
The following are not permitted:
Alcohol
Smoking or vaping inside the premises
Illegal substances
Dangerous items
Open flames, candles, fireworks, or pyrotechnics
Activities likely to damage the hall or property
Unlawful, offensive, unsafe, or inappropriate behaviour
Al Furqan Education Trust reserves the right to stop any event where prohibited items or conduct are found.
22. Health and Safety
The customer and all attendees must follow all reasonable health, safety, security, and operational instructions given by Al Furqan Education Trust.
Fire exits, entrances, corridors, stairways, and access routes must be kept clear at all times.
Al Furqan Education Trust may refuse, stop, or remove any activity it considers unsafe or unsuitable.
23. Photography and Filming
Photography and filming are the responsibility of the customer.
The customer must ensure that any photography or filming is respectful, appropriate, and carried out with any permissions required from attendees.

25. Terms & Deposit Declaration
By ticking the Terms and Deposit declaration, the customer confirms:
I understand the booking fee includes a refundable £100 security deposit and I accept the Hall Booking Terms & Conditions.
26. Privacy Consent
By ticking the Privacy Consent declaration, the customer confirms:
I consent to Al Furqan Education Trust contacting me using the details provided regarding my hall booking.
27. Agreement
By completing the booking and making payment, the customer confirms that they have read, understood, and agreed to these Hall Booking Terms & Conditions.
The customer accepts responsibility for the booking, the conduct of attendees, and compliance with all hall hire terms.
